How The Noticed Engine handles personal information.
Last updated 16 October 2026.
This website
This site and the product use PostHog to count visits and see which features are used, and Sentry to report errors and problems you send us with the Help button. PostHog keeps an identifier in your browser so it can tell a return visit from a new one; once you sign in, it links that to your account. When an error happens, or you send a Help report, Sentry keeps a short replay of the last minute on the page with all text masked and images hidden, so we can see what went wrong. We do not record ordinary visits, sell this data, or use it for advertising, and we run no advertising scripts. Our hosting provider keeps standard server logs, such as IP address and requested page, for a short period to run and secure the service. If you email us, we keep the correspondence for as long as we are in contact with you.
The product
The Noticed Engine is used by agencies to capture and organise what their clients know, and by people who use it for themselves. Each agency is responsible for the clients it invites and for the information those clients share. We process that information on the agency's instructions. In the terms of South Africa's Protection of Personal Information Act, the agency is the responsible party and we act as its operator. For a personal account, we are the responsible party.
Depending on how the product is used, we process:
- Accounts for agency staff and for people on a personal plan: name, email address, and sign-in activity. Sign-in uses a one-time code sent by email; no passwords are stored.
- Client profiles: name, email address, and, when WhatsApp is chosen for questions, a mobile number.
- Interview conversations and prompt replies, which can include career history, opinions, and personal and professional stories in the client's own words.
- Material derived from those conversations: knowledge items, coverage scores, a voice profile, and content drafts.
- Photos a client uploads to their gallery, and the LinkedIn connection made to publish on the client's behalf.
- Billing records: what was charged and when, and the card brand and last four digits. Paystack holds the card itself.
How AI is used
AI models read interview answers to choose the next question, assess whether an answer needs a follow-up, extract knowledge items, build a voice profile, and draft content. Those requests are sent to our model provider under terms that do not permit the provider to train its models on them. Every item and every draft is reviewed by a person, at the agency or the account holder, before it is used; the product makes no automated decision with legal or similar effect on anyone.
Providers we rely on
We use a small number of providers to run the product. Each processes only what its role requires.
- Vercel: hosting for the web applications.
- Convex: the database and backend where product data is stored.
- OpenAI: the AI models described above.
- Resend: transactional email, including sign-in codes and prompts.
- Meta (WhatsApp Business): questions, notices, and replies for people who choose WhatsApp.
- Paystack: card payments.
- PostHog: product analytics.
- Sentry: error reports and Help requests.
- bundle.social: publishing to a client's LinkedIn account.
Separation, retention, and your rights
Every agency is a separate workspace and every client is a separate knowledge base. Access is checked on every read in the backend, and no agency can see another's data. An agency can export a client's knowledge base and voice profile at any time.
We keep product data for as long as the agency's account is active and delete it on the agency's instruction. If you are a client of an agency and want to access, correct, or delete information about you, contact the agency that invited you; they can act on it directly or ask us to. For anything about this website, or if you cannot reach your agency, write to the contact address on this site.
Changes
We will update this page when the way we handle information changes, and the date at the top will move with it.
